This document governs your use of the workthought platform (workthought.app) and explains how we handle your personal information. By creating an account, you agree to these terms. If you do not agree, please do not use workthought.

Part One - Terms of Service

1. About workthought

workthought is a personalised coaching platform owned and operated by A Product Studio Limited, a company registered in England and Wales. The platform includes workthought reframe, workthought coach and workthought connect, accessible at workthought.app. These Terms are governed by the laws of England and Wales.

2. Not a medical or therapeutic service

workthought is a coaching tool, not a clinical, medical or therapeutic service. It is not a substitute for professional mental health treatment or medical advice. If you are experiencing a mental health crisis, please contact an appropriate professional service immediately. AI coaching responses do not constitute professional advice and may occasionally be inaccurate. Exercise your own judgement when acting on them.

3. Your account

You must be at least 18 years old to use workthought. You sign in using LinkedIn, which authorises us to receive basic profile information as described in Part Two. You are responsible for maintaining the security of your LinkedIn account. To close your account and delete your data, contact workthoughtapp@gmail.com - deletion is completed within 30 days.

4. Acceptable use

You may only use workthought for lawful purposes. You must not:

  • Transmit unlawful, harmful, abusive, harassing or defamatory content
  • Attempt to gain unauthorised access to the platform or its systems
  • Use automated tools to scrape the platform without our prior written consent
  • Misrepresent your identity or affiliation

5. Your content and our intellectual property

You retain ownership of the content you submit. By submitting it, you grant us a limited licence to use it to deliver and improve the workthought Services. You must not submit content that infringes third party rights.

The workthought platform, content library, AI systems and branding are owned by A Product Studio Limited or its licensors. You may not reproduce, distribute or commercially exploit any part of them without our prior written consent.

6. Human coaches

Coaches on workthought connect are independent professionals, not employees or agents of workthought. Any coaching engagement is a direct relationship between you and the coach. workthought acts as a connection platform only and does not supervise or take responsibility for coaching services provided.

7. Pricing and liability

The workthought Services are currently free. We may introduce paid tiers in the future and will give you reasonable notice before any change affects you.

To the fullest extent permitted by law, workthought is not liable for indirect, incidental or consequential damages arising from your use of the platform or reliance on AI-generated responses. Nothing here excludes liability for death or personal injury caused by our negligence or fraud.

8. Changes to these Terms

We may update these Terms and will notify you of significant changes by email or via the platform. Continued use after changes constitutes acceptance.

Part Two - Privacy Policy

1. What we collect

When you register and use workthought, we collect:

  • Your name, email address and profile photograph via LinkedIn authentication
  • Your LinkedIn professional headline and current role
  • Coaching content - prompts, messages, voice transcriptions and documents you share in the platform
  • Usage data - session frequency, feature usage and interaction patterns
  • Technical data - IP address, browser and device information, collected automatically for security and platform improvement

We do not receive your full LinkedIn profile, connections or activity.

2. How we use your information

We use your information to:

  • Operate your account and deliver personalised coaching responses grounded in our expert content library
  • Retain session memory across workthought coach conversations to provide longitudinal support
  • Detect patterns in your sessions to improve the relevance of support over time
  • Connect you with human coaches whose specialisms match your coaching history
  • Analyse aggregated, anonymised data to improve our content library and coaching approach - this analysis cannot identify you as an individual
  • Publish anonymised, aggregated insights about workplace challenges - no individual can be identified from such reporting
  • Send you service updates and, where you have consented, coaching tips or product news - you can opt out at any time

3. AI processing

Important: Your conversation content is processed by AI systems, including third-party AI providers, to generate coaching responses. We do not use your personal coaching content to train AI models without your explicit consent. AI providers process data under data processing agreements and do not retain it for their own purposes.

4. How we share your information

We share your information only in the following circumstances:

  • Human coaches - if you connect with a coach via workthought connect, we share relevant session history to enable a more informed first conversation. We will make clear what is shared before any connection is made
  • AI providers - coaching content is shared solely to generate responses, under data processing agreements
  • Analytics providers - anonymised, aggregated data only. No personal information is shared
  • Legal requirements - where required by law or valid public authority request

We will never sell, rent or trade your personal information to any third party for marketing or commercial purposes.

5. Sensitive information and data security

Users may share information about their mental health, workplace difficulties and personal challenges. We treat this with the highest level of care. It is processed only for the purposes set out in this document and is never shared with employers or third-party marketers without your explicit consent.

We implement appropriate technical and organisational measures to protect your data. All data is stored within the UK or European Economic Area. Where transfers outside the UK or EEA occur, adequate safeguards are in place in accordance with UK data protection law.

6. Retention and deletion

We retain your personal data and coaching content for as long as your account is active. On account deletion, personal data is removed within 30 days. Anonymised, aggregated data may be retained indefinitely as it cannot identify you.

7. Your rights

Under UK data protection law, you have the right to access, correct, erase, restrict or port your personal information, and to withdraw consent at any time. Contact workthoughtapp@gmail.com to exercise any of these rights - we will respond within 30 days.

You may also complain to the Information Commissioner's Office at ico.org.uk/concerns.

8. Children and changes

workthought is for users aged 18 and over. We do not knowingly collect information from anyone under 18.

We review this document regularly. We will notify you of significant changes by email or via the platform before they take effect. Continued use after changes constitutes acceptance.
